Your Personal Data – what is it?

Personal data relates to a living individual who can be identified from that data. Identification can be by the information alone or in conjunction with any other information in the data controller’s possession or likely to come into such possession. The processing of personal data is governed by the General Data Protection Regulation (the “GDPR”).

The Cranleigh Heritage Trust is the data controller (contact details below).  This means it decides how your personal data is processed and for what purposes.

We currently collect and process the following information:

• Names
• Addresses
• Email Addresses

4. How do we process your personal data?

The Cranleigh Heritage Trust Trustees and Cranleigh 1000 Club administrators comply with their obligations under the “GDPR” by keeping personal data up to date; by storing and destroying it securely; by not collecting or retaining excessive amounts of data; by protecting personal data from loss, misuse, unauthorised access and disclosure and by ensuring that appropriate technical measures are in place to protect personal data.

We use your personal data for the following purposes: –

• To enable us to provide a voluntary service for the benefit of the public in a particular geographical area as specified in our constitution;
• To manage our volunteers;
• To properly administer the 1000 club draws.
• To inform you of news, events and activities;.

5. How do we get the personal information and why do we have it?

The personal information we process is provided to us directly by you for one of the following reasons:

• To join our email newsletter.
• Send us a message via our contact page.
• You applied to join the Cranleigh 1000 Club.
• Made an inquiry with one of our volunteers at an event.
• Completed a paper inquiry form.

We won’t share your details with any other organisation unless you give us explicit permission.

Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information is your consent. You are able to remove your consent at any time. You can do this by contacting us.

6. What are your rights?

Under data protection law, you have rights including:

Your right of access – You have the right to ask us for copies of your personal information.

Your right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

Your right to erasure – You have the right to ask us to erase your personal information in certain circumstances.

Your right to restriction of processing – You have the right to ask us to restrict the processing of your personal information in certain circumstances.

Your right to object to processing – You have the the right to object to the processing of your personal information in certain circumstances.

Your right to data portability – You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.

7. Further Processing

If we wish to use your personal data for a new purpose, not covered by this Data Protection Notice, then we will provide you with a new notice explaining this new use prior to commencing the processing and setting out the relevant purposes and processing conditions. Where and whenever necessary, we will seek your prior consent to the new processing.
